Integrating with QuickBooks for Invoicing - Armada

Armada supports direct integration with QuickBooks Online, making it simple to generate and sync client invoices from your staffing orders.


✅ What the Integration Does

  • Automatically syncs invoicing data from completed orders into QuickBooks
  • Ensures accurate billing based on approved hours and rates
  • Reduces double-entry and manual invoice creation
  • Helps you get paid faster with less administrative overhead

🔧 How to Connect QuickBooks

  1. Log in to your Armada dashboard
  2. Go to Organization Settings
  3. Navigate to the Integrations tab
  4. Click Connect to QuickBooks
  5. Sign in using your QuickBooks Online credentials
  6. Authorize Armada to access your account

Once connected, you’ll be able to configure which data syncs (e.g., clients, line items, invoice terms).


🧾 Sending Invoices from Armada

  1. Complete and approve the hours on an order
  2. Navigate to the Billing tab
  3. Select the order and click Generate Invoice
  4. Choose Send to QuickBooks
  5. Review the draft invoice in QuickBooks before sending to the client

🧠 Things to Know

  • Only available for QuickBooks Online (not QuickBooks Desktop)
  • Stripe integration is also supported for online payments
  • You can still export invoices manually if preferred (CSV or PDF format)
